Privacy and Personal Information Protection Policy
The protection of personal information is a priority for QUALI-T HR Services and Solutions, hereinafter referred to as QUALI-T. This policy describes how we collect, use, disclose, retain, and protect personal information, in accordance with Quebec’s Act respecting the protection of personal information in the private sector (Bill 25). Quali-T is an investigative agency within the meaning of the Private Security Act and holds a BSP license. Quali-T is also registered in the register maintained by the Commission Quebec Access to Information, which lists personal information agents operating in Quebec. This policy applies to officers, employees, consultants, subcontractors, and any other person or organization called upon to provide services on behalf of Quali-T. It also applies to the Quali-T website and the web platform used to transmit requests and results.
1. Collection of Personal Information
We only collect personal information necessary to perform our professional duties and provide the services we provide, including:
- Name, address, email, and telephone number
- Social insurance number, date of birth
- Criminal records or background
- Financial or professional information
- Photos, audio, or video recordings, if applicable
2. Use of Personal Information
We use personal information only for the following purposes:
- To conduct investigations for our clients
- To conduct background or fact checks within a legal framework
- To produce confidential reports for our clients
- To meet our legal obligations
3. Disclosure to Third Parties
We only disclose personal information to the following individuals or organizations:
- Our clients who have a legal interest in the investigation
- Our service providers, subject to their commitment to confidentiality
- Competent authorities, when required by law
NOTE: No information is sold to third parties.
4. Consent
We generally obtain consent from individuals before collecting or using their information. In certain cases, prescribed by law, consent may not be required.
5. Retention and Destruction
Unless a minimum retention period is required by applicable law or regulation, Quali-T will only retain personal information for the period necessary to fulfill the purposes for which it was collected. Generally, the retention period is one (1) year. Upon expiry, it is securely destroyed.
6. Rights of Data Subjects
Any individual, after identification, may:
- Access their personal information upon written request
- Request a correction
- Withdraw their consent (where applicable)

7. Security Measures
We have implemented administrative, technical, and physical measures to protect personal information against loss, theft, unauthorized access, or disclosure:

Quali-T holds ISO-27001 certification for IT security.

We may update this policy as needed.

10. Compliance with the Act respecting Access to documents held by public bodies and the Protection of personal information
In addition to complying with Bill 25, we also comply with the Act respecting Access to documents held by public bodies and the Protection of personal information, where applicable. This means that:
- We allow individuals to request access to their personal information held by us.
- We respond to these requests within the time limits stipulated by law, generally within 20 days of receipt.
- We inform the individual of their right to appeal to the Commission Quebec Access to Information if they are dissatisfied with our response.
- We keep records of access requests and responses, as required by applicable regulations.
